The Situation
The company had earned its growth. Its products sat on shelves nationally, its direct-to-consumer base was expanding, and annual revenue had crossed $25M with momentum behind it. Growth of that speed carries its own tax. Data lived in separate systems for finance, sales, marketing, operations, and fulfillment, and no two teams read the same numbers the same way. Reporting was manual and lagged reality. Decisions rested on partial pictures, and the leadership team spent more energy reconciling figures than acting on them.
The brand needed an operating system that could hold up under scale: one shared set of goals, one source of truth, and a cadence that turned strategy into weekly execution.
The Engagement
Virgent AI came in as a full-service strategy and AI development partner, embedded across the leadership team rather than parked in an advisory seat. The work spanned facilitation, operating design, product management, hands-on software development, and capital markets support on an active raise. What We Did
- Strong Start workshop series. We opened with a structured workshop series that aligned founders and department heads on where the business was headed and what was slowing it down. These sessions surfaced the real constraints across every function and set the shared language the rest of the engagement would run on.
- Vision, mission, and company-wide OKRs. We facilitated the leadership team to a ratified vision and mission, then translated them into a full OKR framework: 22 key results distributed across the executive team—one line, one number, one direction, and no tasks masquerading as results. Each department left with its own objectives tied directly to the company goals.
- Breaking down silos. We connected the department plans into a single Master OKR Crosswalk so finance, sales, marketing, operations, and fulfillment could see how their targets depended on one another. Shared metrics replaced competing spreadsheets, and the teams began working from one picture of the business.
- Capital markets support. Virgent cofounders work in M&A full time. On this engagement they stepped into a dual role: building the operating and data foundation while advising on an active fundraise. That same capital-markets fluency shows up across our practice—supporting clients on public market filings, acquisitions, and exits—and here it meant the reporting surface was built for how investors and operators actually read a business.
- Process optimization and agile ceremonies. We installed a lightweight operating rhythm: regular planning, review, and retrospective ceremonies that kept OKRs live rather than filed away. Each department produced an after-action review, and the cadence gave leadership a standing forum to inspect progress and adjust.
- Product management and a living backlog. We stood up product management practices around a backlog where every item links back to an OKR. Work that could not be traced to a company goal did not get prioritized, which kept the team focused on the outcomes that mattered.
- Biweekly executive dashboard. We designed and shipped a robust executive dashboard on a biweekly cadence, delivering steadily improving reporting into the leadership team every two weeks. The dashboard drives sales decisions and informs capital and operating choices from a single, trusted surface.
The Dashboard
The dashboard is built around the OKRs rather than around the tools underneath it. Vision and mission stay pinned in view, and every metric maps to the objective and key result it serves, so a number always answers a question the leadership team already cares about. An embedded AI assistant lets executives interrogate the data in plain language, and a linked backlog keeps every planned improvement tied to a goal.
Under the surface it unifies more than sixteen live data systems, moving each source from manual pulls toward automated feeds on a phased schedule. It runs on a modern stack of Next.js and Vercel with a Postgres data layer and a multi-model agentic layer over MCP and API integrations, which is what lets the reporting scale as the business does.
